Pokemon Grading Submissions: How to Identify the Exact Promo Before Filling Out the Form

Match the promo number, set symbol, stamp, and foil to a card database before filling out the grading form. A promo is a card released outside normal booster packs with its own numbering, so name and artwork alone are not enough.

Grading companies label the sealed case, often called a slab, with the specific release they identify. A small difference in stamp or numbering can change the label. Checking first prevents delays, corrections, and a slab that does not reflect your card.

What Makes One Promo Different From Another

The same Pokemon can appear on several promos with shared artwork but different numbers, foils, or release methods. Graders treat each print as a separate entry. Your job is to narrow to that single print.

Focus on language, finish, and markings. A non-holo league copy and a holo event copy are different promos even with matching artwork. When in doubt, treat a stamp or foil change as a different version until matched.

Where to Check the Card Itself

Work with the card in a sleeve under good light. Look for the small set symbol, the promo code line, and the copyright line at the bottom.

Note the language and any stamped text or logo. Compare front and back for finish differences. Do not rely on memory; copy the characters exactly as printed.

  • stamp, logo, or date mark on the artwork box
  • foil pattern and card finish
  • language and copyright line

How to Match It to the Right Listing

Search a card database by Pokemon name plus the promo code you copied. Filter by language and finish before looking at pictures. Open only entries that show the same code line. Compare your card side by side with listing photos.

Check stamp placement, foil, and set symbol, not just artwork. If one detail differs, keep searching. Save or note the full listing name and number for the form. If two listings appear identical, choose the one that matches all markings and keep photos of both sides.

How to Fill Out the Grading Form

Enter the database name, promo number, language, and finish exactly as listed. Use the notes field to describe a stamp or foil detail when the form allows it. Attach clear front and back images when possible.

Do not shorten the promo code or replace it with the set name. Do not list the artwork character alone. Double-check spelling and numbers before submitting, because the label follows what you enter and what the grader can verify.

Mix-Ups That Lead to Wrong Labels

The most common error is mixing a pack version with a promo reprint that shares artwork. Another is mixing stamped and unstamped copies from similar releases. Both lead to a corrected label or return.

Theme-deck copies, league copies, and box promos often look alike at a glance. Check the finish and bottom line rather than the main image. If two entries look identical, leave the variant box blank and include clear photos rather than guessing.
